How an email QR code works

An email QR code encodes a mailto: link with optional pre-filled subject and body text. When someone scans the code with a phone camera, the device opens the default email app with the recipient address, subject line, and message body already populated — they just hit send. This removes the friction that kills most email-based response mechanisms. Instead of typing an address and crafting a subject, the scanner gets a ready-to-send draft. The conversion rate is significantly higher than a printed email address that the recipient has to copy by hand.

When to use an email QR code

Email QR codes work best where you want a structured response, not a freeform conversation. Pre-filling the subject and body lets you route the email correctly and reduces friction on the responder's end.

  • Feedback collection — pre-fill subject "Feedback on [campaign]" so emails route to the right inbox.
  • Event RSVPs — subject "RSVP yes/no for [event]" with body listing the dietary options.
  • Support requests — printed on a product, pre-filled subject contains the product ID for triage.
  • Job applications — printed on a recruitment poster with the role title in the subject line.
  • Press inquiries — back of a business card with subject "Press request."

Need to update this later?

Need to change which inbox the email lands in, or update the subject line for a new campaign? A static email QR is frozen — every reprint costs money. A dynamic email QR points to a smart redirect that opens the latest email template, swappable from your dashboard. You also see exactly how many people scanned the code (and from where) before they hit send.

FAQ

Frequently asked questions

What email fields can I pre-fill?
Recipient address, subject line, and message body — all optional. Set whichever combination you need: just the address, or address + subject for routing, or all three for a fully-drafted message ready to send.
Does it work with Gmail, Outlook, Apple Mail?
Yes. The QR triggers the device's default email app via the standard mailto: URL scheme. Gmail, Outlook, Apple Mail, ProtonMail, and every other major client recognize the format. The scanner can also choose which app to open if multiple are installed.
Can I include CC and BCC?
Yes. Standard mailto: supports cc and bcc parameters; the generator above includes them when needed. Pre-filled cc/bcc is useful for routing copies to a shared team inbox alongside the primary recipient.
Will the email send automatically?
No — and intentionally so. The QR opens a draft in the scanner's email app; they review and tap send. This is by design: phones don't allow QR codes to send emails silently, which is a basic anti-spam safeguard.
Is the email QR free?
Yes — fully free for static email QR codes. No signup, no watermark. Dynamic email QR codes (editable templates + scan analytics) require a free Build QR account.
Can I have multiple recipients?
Yes — separate addresses with commas in the recipient field. All listed addresses appear in the To field when the email opens.
Does it work on desktop?
Yes, when scanned from a desktop QR reader or transferred from phone. The mailto: link opens the default desktop email client. Most QR codes for email are scanned by phone, but the format is fully compatible across devices.

Need to update the link later?

Static codes bake in the destination forever. Dynamic QR codes let you change where the code points without reprinting. Start free with one dynamic QR included.
